  1. Your company and the customer

Put your company name, MC and USDOT numbers and contact details at the top, then the broker or shipper you are billing and their billing email.

  2. Match it to the load

Add the invoice number and date, the terms and due date, and the load or rate confirmation number and BOL number exactly as they appear on those documents. Brokers match invoices by these numbers.

  3. Itemize the charges

Linehaul first, then fuel surcharge and every accessorial on its own line: detention, layover, lumper, stop-offs or TONU. The total updates as you type.

  4. Send it with the paperwork

Save it as a PDF and send it with the signed rate confirmation and the signed BOL or proof of delivery, the documents most brokers need before they pay.

What should a trucking invoice include?

Your company name, MC and USDOT numbers, the customer's name and billing email, an invoice number and date, payment terms, the load or rate confirmation number, the BOL number, pickup and delivery details, each charge on its own line, the total, and where to send payment.

What documents go with a trucking invoice?

Most brokers and shippers want the signed rate confirmation and the signed bill of lading or proof of delivery. Receipts for lumper fees or other reimbursable charges go with it too.

How do I bill detention or a lumper fee?

Put each on its own line with the details: detention hours and the rate from the rate confirmation, or the lumper receipt amount. Charges the rate confirmation does not mention often need the broker's approval first.

What if I factor my invoices?

Put your factoring company in Remit payment to, and send the invoice and paperwork the way your factor asks. The customer then pays the factor instead of you.

Can I invoice without a template?

Yes. Yolda's trucking accounting software creates the invoice from the delivered load, with the rate, accessorials and documents already on it, and emails it to the customer's billing email.
